1. About these terms
These Terms of Service ("Terms") are a legal agreement between you and stamp-wise.com ("Stampwise", "we", "us", "our"). They apply when you visit stamp-wise.com (the "Site"), contact us, place an order, or send us any documents.
By placing an order or sending us documents, you confirm that you have read and accept these Terms, our Privacy Policy, our Refund Policy and our Disclaimer. If you do not agree, please do not use our services.
2. Who we are and what we are not
Stampwise is an independent, private service. We are not a government agency, embassy, consulate or official visa application centre, and we are not affiliated with or endorsed by any of them. Every visa we assist with can be applied for directly through the relevant government website, embassy, consulate or authorised visa application centre, without paying our service fee.

3. Our services
Depending on the package you choose, our services may include:
- reviewing your circumstances and telling you which visa type and documents are usually required;
- preparing a personalised document checklist and reviewing documents you provide for completeness and consistency;
- completing online or paper application forms using the information you give us;
- searching for and booking appointments at embassies, consulates or visa application centres, where the system allows this;
- preparing supporting items such as cover letters and travel itineraries that describe your genuine travel plans;
- arranging courier collection and return of documents where applicable; and
- tracking your application and keeping you updated.
The exact scope, price and any stated timeframes for your order are set out in your order confirmation or written quote (the "Order"). If anything in your Order conflicts with these Terms, the Order applies for that specific point.
We currently assist with visas for Schengen Area countries, the United States, Canada, Australia, the United Kingdom and selected countries in Asia. Availability of a particular service may depend on your nationality, country of residence and the rules of the destination country.
4. Eligibility
You must be at least 18 years old and legally able to enter into a contract to place an Order. If you order on behalf of another person, including a child or family member, you confirm that you are authorised to do so and that they have agreed to these Terms and to our handling of their personal data.
5. Your responsibilities
You agree to:
- give us complete, accurate and truthful information and genuine documents;
- check every form, checklist and document we prepare before it is submitted, and tell us promptly about any error;
- provide requested documents within the deadlines we give you;
- make sure your passport meets the destination's validity and blank-page requirements;
- attend any appointment, interview or biometrics session in person and on time, where required;
- pay all fees when due; and
- tell us immediately if your circumstances, travel dates or contact details change.
You remain solely responsible for the content of your application and for any statement or declaration made in it. We will not knowingly submit false, altered or misleading information or documents. If we reasonably believe that any information or document is false or misleading, we may stop work immediately, and our Refund Policy will apply as if you had cancelled at that stage.
6. Fees and payment
Our service fees are quoted and charged in US dollars (USD). Unless your Order says otherwise, service fees do not include third-party costs such as government or consular fees, visa application centre fees, biometrics fees, travel insurance, translations, courier charges or bank charges ("Third-Party Fees"). Third-Party Fees are set by others, may be charged in other currencies, and may change without notice; we will pass them on at cost unless stated otherwise.
Payment is due in full when you place your Order unless we agree otherwise in writing. Payments are processed by our payment provider; we do not store your full card details. If your bank or card provider charges currency conversion or foreign transaction fees, those are your responsibility.
We may change our prices at any time, but a change will not affect an Order we have already confirmed.
7. Timeframes and appointments
Any processing time we mention is an estimate based on information published by, or our recent experience with, the relevant authority. Governments, embassies and visa centres control their own processing times and appointment availability, and these can change without warning. Unless your Order expressly includes a committed timeframe for a specific task we control, we do not guarantee any processing time, appointment date or decision date.
We strongly recommend that you do not buy non-refundable travel tickets or make other non-refundable commitments before your visa is issued. We are not responsible for any travel, accommodation or other costs you incur because of delays or refusals.
8. Visa decisions
The decision to grant or refuse a visa, and the type, duration and conditions of any visa granted, rest solely with the relevant government authority. We cannot influence that decision and we do not guarantee any outcome. A visa does not guarantee entry: border officials make the final decision at the port of entry.
9. Passports and original documents
Where your service involves handling your passport or original documents, we will take reasonable care of them while they are in our possession. We are not responsible for loss, damage or delay while documents are held by a government authority, visa application centre, courier or postal service. We recommend that you keep copies of all documents you send us and that you use a tracked, insured courier service.
10. Cancellations and refunds
Cancellations and refunds are governed by our Refund Policy, which forms part of these Terms.
11. Limitation of liability
Nothing in these Terms limits or excludes liability that cannot be limited or excluded by law, including liability for death or personal injury caused by negligence, or for fraud.
Subject to that, and to the fullest extent permitted by law:
- we are not liable for any visa refusal, delay or restriction imposed by any authority, or for any loss arising from it;
- we are not liable for indirect or consequential losses, or for lost travel costs, lost income, lost business or lost opportunity; and
- our total liability to you in connection with any Order is limited to the service fee you paid us for that Order (excluding Third-Party Fees).
If you are a consumer, you may have statutory rights under the law of the country where you live. These Terms do not affect those rights.
12. Indemnity
You agree to compensate us for any losses, claims or costs we reasonably incur because you gave us false, incomplete or misleading information or documents, or because you breached these Terms.
13. Use of the Site
You may use the Site for lawful purposes only. You must not attempt to gain unauthorised access to the Site or our systems, interfere with their operation, scrape or copy content in bulk, or upload anything harmful. Visa information on the Site is general guidance and may become out of date; always check the official source before relying on it.
All content on the Site, including text, graphics, logos and the Stampwise name, belongs to us or our licensors and may not be reused without our written permission. Links to third-party websites are provided for convenience; we are not responsible for their content or practices.
14. Suspension and termination
We may decline an Order, or stop work on an Order, if we reasonably believe that continuing would be unlawful, would involve false or misleading information, or would put our staff or business at risk, or if you are abusive towards our staff. If we stop work for a reason that is not your fault, we will refund the unused part of your service fee.
15. Events outside our control
We are not responsible for delays or failures caused by events outside our reasonable control, including changes in immigration law or policy, closure of embassies or visa centres, system outages at government portals, strikes, pandemics, natural disasters, war or civil unrest.
16. Complaints and disputes
If you are unhappy with our service, please email visa@stamp-wise.com with your order number. We aim to acknowledge complaints within 2 business days and to respond in full within 10 business days. Please contact us before starting a payment dispute or chargeback, so we can try to resolve the matter quickly.
These Terms, and any dispute or claim arising out of or in connection with them, are governed by the laws of England and Wales.
Any dispute will be decided by the courts of England and Wales, sitting in London, except that if you are a consumer you may also bring proceedings in the courts of the country where you live if local law gives you that right.
17. Changes to these Terms
We may update these Terms from time to time. The version in force when you place your Order will apply to that Order. We will show the date of the latest update at the top of this page.
18. General
If any part of these Terms is found to be unenforceable, the rest will remain in effect. If we do not enforce a right straight away, we have not given it up. You may not transfer your rights under these Terms without our consent. These Terms, together with your Order and the policies referred to above, are the entire agreement between us about our services.
